Administration Assistant / Receptionist

- Pay: $69,642 base + Super (approx. $78k package) + a 10% performance bonus.

The Opportunity
We are looking for a reliable, highly organised Administration Assistant / Receptionist for our client in Geelong. This isn’t just a passive front-desk role; it is the operational engine room of our office. We are seeking a genuine powerhouse - someone with the experience and resilience to manage a heavy workload with absolute composure and zero fuss.
Key Responsibilities
You will be responsible for a dynamic mix of all-round administration, operations support, basic marketing, and financial tasks:
- Front-of-House & Operations: Manage the front reception area, coordinate contractor sign-ins, maintain the key register, and seamlessly field incoming calls.
- Financial Administration: Process accounts payable invoices, raise purchase orders, manage ad-hoc tenant charges (electricity/water usage), and handle the monthly rent roll process.
- Compliance & Data Management: Document and track tenants and manage contractor documentation and onboarding.
- Tenancy & Leasing Support: Assist with leasing and bookings; prepare agreements and distribute memos.
- Risk & Emergency Management: Actively participate in risk management and assist with emergency evacuation procedures.
- General Team Support: Minute weekly staff meetings, coordinate travel booking, manage office supplies, and support the Operations Managers.

Technical Skills & Experience:
- Proven Tenure: A stable career history demonstrating loyalty and reliability in demanding corporate environments.
- Admin & Financial Literacy: Strong administrative background coupled with a solid understanding of financial reporting, accrual accounting, and invoice processing.
- Tech-Savvy: High level of proficiency in MS Office (Word, Excel, PowerPoint, Outlook, Teams). Experience with property-specific software is highly advantageous, though training will be provided.
- Industry Experience: Prior experience in corporate office management or operations administration is highly regarded.
